Notes on Publication of Public Notices in the Gazette
The Government of the Hong Kong Special Administrative Region Gazette is normally published on Friday. For publication of a public notice in the Gazette, the application together with relevant documents must reach the Printing Division, Government Logistics Department before the closing deadline specified below:

Online Application and Payment for Publication of Public Notices
Applicants can submit an online application and make payment for publication of a public notice through PNSPS quickly and conveniently. Using the PNSPS has the following benefits:
- better efficiency and effectiveness due to streamlined workflow;
- one stop platform for receiving proofreading manuscripts, submitting revisions and signing off for printing through the system;
- convenient means of making enquiries about the application status and retrieving application records; and
- quick and convenient payment methods. Applicants can make payment by PPS, FPS and credit cards directly through PNSPS.

It is acceptable for application to be submitted in company letterhead but all the information as required in application form GLD 18 must be provided.
The email, fax and the front of the envelope should be clearly marked “GAZETTE DRAFT” to facilitate the processing of the application.
An application for the same public notice should not be submitted by more than one of the above means, viz. email, fax, by hand or through PNSPS concurrently. Otherwise all of them will be regarded as separate applications. The applicant may be required to pay the fees for all these applications submitted by different means.
The applicant must ensure that the public notice submitted for publication in the Gazette is accurate and is the final version.
The Printing Division will typeset the public notice in accordance with the house style of the Gazette. For online applications submitted through PNSPS, the Printing Division will send the proof to the applicant through PNSPS for checking and will notify the applicant by email to check the proof from PNSPS. If the applicant submits the application by other means, the Printing Division will send the proof by email or fax to the applicant for checking. If the applicant has not received any proof by noon four days before the intended publication date, the applicant may contact the Printing Division at 2564 9570.
Only one proof will normally be provided for proofreading. Applicants should check the proof carefully and sign the proof slip for approval; and, by following the instructions in the proof slip, return the proof with the necessary fee to the Government Logistics Department before the specified deadline. For online applications submitted through PNSPS, applicants should sign the proof for approval through PNSPS.
If the applicant has not returned the proof before the deadline as specified in the proof slip, the applicant will be regarded to have discontinued the application. Under this circumstance, the applicant may still be required to pay the full fee. Fees for publication of public notices are listed on Gazette Supplement No. 6 and on the Government Logistics Department website. This fee payment does not include any fee charged by other Government departments including the Intellectual Property Department and the Companies Registry.
Notification for withdrawal of application for publication of public notice must be submitted in writing to the Printing Division by no later than 12:00 noon on the day following the closing date of application. For online applications submitted through PNSPS, notification of withdrawal must be submitted in writing to the Printing Division by no later than 2 p.m. on the closing date of application. Any late notification will not be processed. If notification of withdrawal is submitted after the proof has been issued, the applicant may still be required to pay the full fee irrespective of the reason for withdrawal.
Trade mark applications which are accepted under Section 42 of the Trade Marks Ordinance (Cap. 559) are not required to be published in the Gazette. However, notices of trade mark applications pursuant to rule 22(5) of the repealed Trade Marks Rules (Cap. 43A) are required to be published in the Gazette; and the application form should attach form IP185 issued by the Intellectual Property Department and the trade mark representations (either photographs or line drawings on plain paper) should be submitted with the application. Photographs or line drawings submitted along with the application should be collected by the applicant within one month from the date of publication, otherwise they will be disposed of without further notice.
The Director of Government Logistics reserves the right to reject public notices which are considered not suitable for publication.

Measurement of the length of the notice will include standard head and foot margins. Fractions of 1 cm will be charged as 1 cm.

Pay Online via PNSPS
If an applicant uses PNSPS to apply for the publication of public notice, the applicant can also choose to make payment through PNSPS immediately (or before the specified deadline) using PPS, FPS or credit cards.
Pay by General Demand Note
Applicants can also choose to make payment according to the general demand note. The Accounts Section of the Government Logistics Department will issue a general demand note to the applicant by email. The applicant may pay the fee through PPS, ATM, FPS, internet banking or other methods as detailed on the back page of the general demand note. The applicant should make payment and return the payment proof (e.g. ATM receipt, internet banking record) to the Accounts Section by email (gld_acct@gld.gov.hk) before the specified deadline.
